Worker Images in Workday

Purpose

Employees may upload their photographic image to their Workday profiles. The ability to view worker images within Workday makes the Workday experience more personal and helps identify names and positions with faces, including on downloadable organizational charts. The purpose of these images is to help promote a more connected Penn community.

Employees with Workday records may upload a photo image to their Workday profile at any time. Employees with Workday records may modify their uploaded photo image.

Uploading an image is optional. Employee images are held privately in Workday@Penn which is secured behind the PennKey. If employees choose not to upload an image, they do not need to provide a reason for their decision. Schools and Centers may not require or mandate their employees to provide their photos.

Uploading a photo image does not indicate a release of the use of that image to the University of Pennsylvania. Uploaded images do not become the property of the University of Pennsylvania and will not be used by the University for marketing or on any external Internet sites, including social media.

It is generally not University policy to access staff members' electronically stored information (Source: https://almanac.upenn.edu/archive/v47/n04/OR-eprivacy.html). The University prohibits use of employee images found in Workday to be used outside of Workday purposes.

Guidelines

Images are equivalent to the Penn Card photo. The image should be a recent photo in which the employee is the only subject. The employee’s face should be visible and in focus. Images showing something other than the employee are not considered appropriate and will be removed. It is recommended that the image be approximately 200 x 200 pixels with a solid-colored background. The image file should be in one of these formats: JPEG, GIF, BMP, TIFF or PNG.
