Workday Learning is the administrative learning management system of record of the University of Pennsylvania.
Effective March 6, 2023, Workday Learning serves the University’s population as the single system of record for required, risk-related or regulatory compliance training at the University. The University of Pennsylvania Health System maintains a separate learning management system with which the University and Workday Learning closely collaborate. If training is offered through a third-party system or managed ad hoc at the local level, uploading the training history to Workday Learning is recommended for consistency and data security. This facilitates auditing for compliance tracking as well as providing a better experience for faculty, staff, postdocs, students, and others who have University positions requiring on-the-job training.

What must be tracked in Workday Learning?
- Training required before one receives access to online systems
- Information Privacy and Security training
- Regulatory compliance training (required by state, federal, or international government agency)
- Policy compliance training (required by the University, school, center, or department)
- Penn-funded, department-wide activities (not individual conference or certifications, see below)
- Training to reduce University liability
What are recommended training types that can be tracked outside of Workday Learning?
- Recording of external certifications and external professional development are not currently managed in Workday Learning. This topic will be explored and planned with Human Resources Talent Development and the Workday Operations team.
- External programs include both optional and required certifications that are job-related.
- Voluntary professional development does not need to be tracked in Workday Learning but remains a future possibility for those wishing to track all their learning in one place.
- Personal interests will continue to be not tracked (e.g., Quality of Work Life).
- University-offered academic programs continue to be tracked in Pennant, the student system.
- Training attempts that do not result in a course completion record are tracked at the training provider's discretion.
What about external training systems?
For external training that must be tracked, the external systems containing training records should identify users with Penn ID numbers and be PennKey-protected. Please engage with the IT Learning Solutions team or your local support provider on technical resources.
